Your Privacy

You are being asked to hand identity details to a company you may not have dealt with before. That deserves a straight answer, so here is exactly what happens to them.

What we collect

Your name and email	Given by the person who invited you

We do not ask you for a password, a bank detail, or a payment, and we never will.

What happens to your ID

Your identity document is deleted once the session is over.

NotariseIt is a notarisation platform, not a document store. Three things are kept for six years, because Nigerian law requires it — the notarised document, the notarial certificate, and the session recording. Your uploaded ID is not among them.

The file stays available only while the appointment is live, so the notary can review it beforehand. Once the session completes — or the booking is cancelled — it is purged automatically.

While it exists, who can see it?

The notary conducting your session, and nobody else. Not the person who invited you, not other witnesses, and not other NotariseIt users. It is treated exactly the same way as the signer's own identity document.

What is kept

Your name and signature form part of the notarial record. They appear in the session's audit trail and on the notarised document, because the whole point of a witness is that there is a record of who attested to the signing. That record is retained for six years.

The session recording is also retained for six years under the Notarial Practice Regulations 2026. It is not public, and access to it is controlled and logged.

Your rights

Under the Nigeria Data Protection Act 2023 you can ask us what we hold about you, ask for it to be corrected, or object to how it is used. Write to [email protected].

One limit worth being straight about

We cannot delete your name or signature from a completed notarial record on request. That record is what makes the notarised document verifiable, and the retention period is set by law rather than by us. Everything outside that record — your uploaded ID in particular — is deleted as described above.

Your link

The private link in your invitation is the only credential you have, so treat it like a password:

• do not forward it — anyone who has it can act as you in the verification
• do not post it anywhere, including in a group chat
• it expires shortly after the session ends
• if a new one is issued, the old one stops working immediately

If you think someone else has had access to your link, tell the person who invited you and ask them to reissue it.

If you did not expect this

If an invitation arrives out of the blue and you were not asked to witness anything, do not verify your identity. Forward the email to [email protected] and we will look into it.

Genuine invitations always come from notariseit.com, open at www.notariseit.com/witness-portal/…, and show your name, the session date, and the notary's name before asking you for anything.
