Managing Members

Coming Soon

Organisation accounts require the Elite plan, which is not yet open for subscriptions. This guide documents what will be available when Elite launches. To register your interest, email [email protected].

Inviting notaries

  1. Go to Dashboard → Organisation → Members → Invite Member.
  2. Enter the notary's email address.
  3. Select their role: Admin or Member.
  4. Click Send Invitation.

If the email belongs to an existing NotariseIt user: They receive an in-app notification and a "You've been invited" email. They can accept with one click from their dashboard.

If the email is not registered: They receive an invitation email with a link to complete registration first. After signing up and being approved as a notary, they are prompted to accept the invitation.

TIP

Only commissioned notaries (with an approved notary profile) can be members of an organisation. Clients cannot be added as organisation members.

Member roles

RoleCapabilities
OwnerFull access — can transfer ownership, manage billing, and close the organisation
AdminInvite/remove members, view all sessions, manage artefacts and document types, access reports
MemberConduct sessions, use shared artefacts — no management access

Changing a member's role

Only the owner can change a role, and only for members who are not themselves the owner. Admins see the member list but no role control.

  1. Go to Dashboard → Organisation → Members.
  2. On the member's row, use the role dropdown on the right.
  3. Choose Admin or Member. The change saves as soon as you pick it — there is no separate confirm step.

Removing a member

  1. Go to Dashboard → Organisation → Members.
  2. On the member's row, click the remove member icon (a person with a minus) on the right.

The icon is hidden for the last remaining owner, so an organisation can never be left without one.

The notary is removed immediately. They keep their personal NotariseIt account and can continue operating independently. If their personal Pro subscription was paused when they joined, it is automatically reinstated.

Transferring ownership

If you are the sole owner and want to transfer ownership to another member:

  1. Go to Dashboard → Organisation. In the Owner Actions card, click Transfer Ownership.
  2. Choose the member who is to become the new owner and submit the request.
  3. A Verify Transfer dialog opens. Enter the 6-digit code sent to your email address — not your password.
  4. The request then goes to a platform administrator for approval. It is not complete until they approve it.

When the transfer is approved, your own role becomes Member.

WARNING

There must always be at least one Owner. You cannot leave the organisation or close it as the sole owner without first transferring ownership.

Leaving an organisation (for notary members)

A notary can leave an organisation themselves:

  1. Go to Dashboard → Organisation → [Your Organisation].
  2. Click Leave Organisation.
  3. Confirm in the dialog.

Leaving is blocked if you have upcoming confirmed sessions booked through the organisation. Complete or cancel those sessions first. All org owners and admins are notified when a member leaves.
