Digital Signature Setup
Your digital signature is your own handwriting — the mark you have always put on a document beside your seal. You set it up once, and it is then ready to place in every session you ever run.
This is not your seal
Your seal is a registered instrument under the Notary Public Act 2023, s.6(2). It is issued or declared, it is recorded with the Chief Registrar, and a session cannot be completed without it — see Digital Seal Setup.
Your signature is your own mark. Nobody issues it, nobody approves it, you can replace it whenever you like, and its absence blocks nothing. Most documents want one beside the seal, so it is worth the two minutes.
Why you set it up here and not in the session
Signing used to happen entirely inside the video room: you could type a name, draw one, upload one, or send it to your phone, all from a panel about the width of a phone, on a live recorded call, with a client waiting.
Every option worked. Together they made the busiest screen in the product out of the one screen you use under time pressure.
So the choosing moved here, where you are not being watched and nothing is running. In the session you now place three things and choose nothing:

Each is one click in the sidebar, then one click where it goes.
Setting it up
- Go to Dashboard → Digital Signature.
- Choose Draw or Upload.
- Draw — sign on the pad with your mouse, trackpad or finger.
- Upload — a photo or scan of your handwritten signature. A dark pen on plain white paper scans best. PNG or JPEG, up to 2 MB.
- Click Use this signature to confirm the mark.
- Enter the 6-digit code from your authenticator app.
- Click Save my signature.
The page then shows your signature marked In use in your sessions. Drawing or uploading again replaces it; Remove clears it.
Why we ask for your authenticator code
Saving asks for your 2FA code even though you are already signed in.
A saved signature is the one thing on your profile that can produce your handwriting on a document without you being there at that moment. If someone reached an unlocked machine, replacing it would let them put a mark on a deed that you never made and that looks exactly like yours.
The code proves the change is being made by you, on your phone, right now. It is also less to remember than a password, and it expires in under a minute — so even if someone reads it over your shoulder, it is worthless a minute later.
Removing your own signature does not need a code. Deleting it destroys nothing: signatures already placed on documents live with those documents, not here.
Your signature is private
It is never shown to clients or witnesses except where you have placed it on a document, and it is never shared with other notaries. It is stored encrypted, and the platform never hands the browser a reference that could be used to apply it.
If you have not set one up
You can still run and complete a session. The Signature stamp will tell you there is nothing on file and point you back here; your Seal and Printed Name work on their own.
Changing it
Draw or upload a new one at any time — it replaces the old one immediately, and the old image is deleted. Documents you have already signed are unaffected: the mark on a sealed document is part of that document and does not change when you change your signature.
